TGIF
TGIFs are twice monthly (hopefully!) happy hours for CIS faculty members and phd students. Small groups of students organize individual events. Jeff Vaughan (that's me) is the general coordinator. Please email me with any questions or to volunteer!
How to run TGIF
Scheduling
I'll send you a reminder email if you've volunteered to run a TGIF. Our scheduling is flexible and, if you don't already have one set you can pick any Friday in your time block to run the event. Typically TGIFs are at 5:00, but this is also up to you.
When you've picked a date and time, email Mike Felker. He can forward an announcement to the phd and faculty email lists and, if necessary, reserve Levine 307. Please give him plenty of lead time: rooms are easier to get well in advance, and Mike sometimes needs a day or two to forward announcements.
Refreshments
The key ingredients of a successful TGIF are food and drinks. Refreshments should cost $300 or less and provide something for everyone. In practice you need to order some vegetarian food and non-alcoholic drinks.
While food often means pizza, it doesn't have to! Past TGIFs have included everything from sushi to homemade deserts to barbeque. Turkish, Irish, Chineese, and Indian foods have also been delicious departures from pizza. Whatever you choose, I suggest getting food delivered. Calling a few hours before delivery will give the restuarant time to cook.
Beer and wine are the beverages of choice at TGIF. Plan on two to three cases of beer or a dozen bottles of wine. Order three or four bottles of soda or juice too. (While there is soda in the Levine 307 closet, we cannot use it for TGIF.) Springfield Beer Distribution (215-546-7301) delivers beer, soft drinks, and ice to school. For afternoon delivery, call them in morning. Unfortunately, you can't get wine delivered; instead, buy it from a state store ahead of time. It's important to buy from a state store as the university will not reimburse out-of-state liqour purchases.
In addition to the actual refreshments, don't forget plates, napkins and utensils. These can be delivered from most restuarants with take-out orders. While the kitchen often has limitted supply of cups, please provide some if necessary (e.g. for wine).
TGIF maintains a small set of basic supplies including bottle openers, corkscrews, cutting boards, and small buckets for cooling drinks; please let me know in advance if you will need anything of the sort.
The TGIF
Setting up for a TGIF is easy. Make sure to
- arrange the tables in a pleasing manner
- set out food
- put ice and beer in the large blue buckets (stored in the Levine 307 closet)
- start playing music over the av-system.
This usually takes little time, but leave half an hour. I typically ask food to be delived about 15 minutes before the event starts.
Once folks arrive, get your socializing on.
Cleaning up afterwards is easy too. Please
- eat, drink, take home, or give away leftovers that won't keep
- save supplies that can be used for another TGIF (email me)
- return the tables and chairs to rows
- clean up any spills or sticky spots
- make sure all garbage is in trash cans
- bring any extra trash to the dumpster on the first floor of Levine
- return the av-system remote control to its charger in the closet
- email eos, asking them to vacuum.
Budget and Reimbursement
While the department pays for the TGIF, it does so indirectly. You need to buy food and drinks then get reimbursed by the Moore Buisness Office. Fill out a Travel and Entertainment Expense Report and Worksheet, and a Statement of Business Connection. Return these forms with your receipts to be reimbursed. You should receive payment by check or direct deposit in two or three weeks.
