Checklist for PhD and MSE Graduation
ACADEMIC RECORD CHECK CHECKLIST
Check that the academic record is clear of Fs, Is, NRs and Us, and
that appropriate courses have been taken for the degree.
APPLICATION FOR DEGREE
Complete all application forms and submit them to the appropriate
office well in advance of the deadline. Ph.D. and M.S.E. candidates
receive applications in 111 Towne. Ph.D. candidates must carry the
original application form (after leaving a copy in the Office of
Graduate Studies, Suite 322, 3401 Walnut Street).
BURSAR BILLS
Make sure that your bursar's bill is cleared before the end of your
final semester. The Business Administrator can help with this.
CAP and GOWN
Order cap and gown from the Bookstore in March if you wish to march
in May graduation.
DEFENSE PROCEDURE
Reserve Room, as soon as you establish the date and time of your
dissertation defense with your advisor and committee.
Tell the Graduate Assistant in the CBE Office your defense date
as soon as it is confirmed.
An announcement will be typed and posted a week ahead of the scheduled
defense day; the Graduate Assistant will do this. The following
information for the announcement is needed two weeks before the
defense: date, time, room, title of dissertation, and committee
members (including department and/or address if member is not in
CBE).
FORWARD ADDRESS PROCEDURES
Leave a forwarding address/phone number for work and home with the
Graduate Assistant in the CBE office. First class mail will be forwarded
only for a short time after you've left Penn. It is therefore important
for you to fill out a Change of Address Card, available from any
post office, to have your mail forwarded to one of your new addresses.
You should also notify publishers, colleagues, etc. of your new
address.
NOTIFY THE GRADUATE ASSISTANT
Notify the Graduate Assistant in the CBE Dept. Office of your graduation
intentions as soon as possible (even if only a tentative plan).
REGISTRATION / EXEMPTION
It is best to register for the next semester and drop the course
if you pass the defense, rather than not register and have a paperwork/financial
mix-up. If you defend before a semester officially starts you become
automatically exempt from that semester. No other exemptions will
be accepted by the Graduate Office.
SUBMISSION OF DISSERTATION OR THESIS
Call the Office of Graduate Studies, Suite 322, 3401 Walnut Street
(8-7444) and make an appointment to turn in the dissertation. M.S.E.
candidates need only to submit their thesis to Graduate Associate
Dean's office on the appropriate date (check deadline listing).
Notify the Graduate Assistant of the appointment date with Office
of Graduate Studies in Suite 322, 3401 Walnut Street, 215-898-7444
and at the same time request her to prepare the Ph.D. Certificate
form (signed by the dissertation supervisor and Graduate Group Chair)
and the 153 form (signed by the Graduate Group Chair) for that appointment.
Before going to your appointment at the Office of Graduate Studies,
Suite 322, 3401 Walnut with your dissertation, pick up the completed
Certification form and 153 Microfilm form. Make an appointment in
111 Towne (8-7246) to bring all this down (specifically the Certification
Form) for the Associate Dean of Graduate Education's signature.
STUDENT SHOULD CARRY TO THE OFFICE OF GRADUATE STUDIES:
- dissertation (2 copies) original and one copy, with original
signatures on both of the Title Pages; in two separate boxes or
two separate envelopes
- completed Ph.D. Certification form
- 153 microfilm form
- any forms mailed to you that are required by the Vice Provost
for Graduate Education Office (it is impossible to submit your
dissertation without the necessary forms - even if they say recommended
or suggested and not required, regard them as required)
TIMETABLE FOR GRADUATION
Consult the "Calendar of Candidates for Degree" published
by the Arts and Science Graduate Division in College Hall) for an
accurate graduation timetable. It is best to begin preparations
for graduation early in the semester in which you plan to graduate.
